Privacy Policy

This policy explains what information VetMost processes, why it is processed, and the choices available to clinics and users.

1. Who this policy covers

This Privacy Policy explains how VetMost processes information when a clinic, team member, client, or other person uses a VetMost page, account, workspace, form, or communication. The Clinic generally determines why client and patient information is collected; VetMost processes that information to provide the Clinic’s configured service.

2. Information we process

Depending on how VetMost is used, we may process:

  • account, identity, authentication, and contact information;
  • clinic profile, location, team, role, and access information;
  • client and patient records, appointments, SOAP notes, invoices, inventory, forms, and attachments entered by the Clinic;
  • email addresses, message content, form links, delivery events, bounce or failure data, and submission records;
  • audit, security, device, browser, log, and diagnostic information; and
  • support requests, feedback, and other information voluntarily provided to us.

3. How information is used

We use information to authenticate users, provide and secure clinic workspaces, maintain tenant separation, store and display records, send configured communications, process forms, generate audit and delivery records, respond to support requests, prevent abuse, troubleshoot reliability, and improve VetMost. We do not use Clinic Data to make veterinary decisions on the Clinic’s behalf.

4. Clinic responsibilities and client requests

The Clinic is responsible for its notices, consents, lawful basis, data accuracy, access decisions, retention schedule, and responses to client requests involving records it controls. If you are a client or patient owner and your information was entered by a clinic, contact that clinic first.

5. Service providers and disclosures

VetMost uses managed infrastructure and service providers for hosting, authentication, database, and application services. Configured email, payment, storage, analytics, or assistant providers may process information needed for those features. We may disclose information to service providers acting on our instructions, to protect rights and security, to comply with law, or as part of a business transfer. We do not sell Clinic Data.

6. Security

VetMost uses authentication, role-based access, tenant separation, managed infrastructure, encrypted connections, audit records, and server-authoritative workflows designed to reduce unauthorized access. Clinics must use strong unique passwords, protect devices, limit roles, and promptly remove former users. No system or transmission method is completely secure.

7. Retention and deletion

We retain information for as long as needed to provide the service, maintain auditability and backups, resolve disputes, enforce agreements, prevent abuse, and meet legal or operational obligations. Clinic retention and deletion choices may not immediately remove information from disaster-recovery backups or records that must be preserved.

8. Cookies and similar technologies

VetMost may use local storage, cookies, and similar technologies to maintain authentication, remember workspace and display preferences, protect sessions, and understand service reliability. Disabling required technologies may prevent sign-in or core features from working.

9. International processing and changes

Service providers may process information in countries other than where a Clinic or user is located. We use appropriate safeguards where required. We may update this Policy as the service changes; the effective date identifies the current version. Material changes will be communicated through the service or an account contact when appropriate.

10. Contact

Privacy questions, security concerns, and requests about information processed directly by VetMost should be sent to the VetMost support contact designated by the service owner or your clinic administrator. Requests about a Clinic’s client or patient records should also be sent to the relevant Clinic.
